This Privacy Policy explains how Prioflo collects, uses, stores, and shares information when you visit our website, create an account, use the Prioflo app, connect third-party services, subscribe to a paid plan, or otherwise interact with us.
Prioflo is built around tasks, notes, workspace collaboration, billing, integrations, and productivity tooling. Because those features can involve personal information, productivity signals, and connected account data, we aim to be direct about what we collect and why we use it.
1. Information we collect
The information we collect depends on how you use Prioflo and which features you enable.
- Account and profile information, such as your name, email address, avatar, authentication identifiers, and workspace membership details.
- Workspace and collaboration information, such as shared workspace names, member lists, invitations, permissions, assignments, notes, activity, and other records created to support collaborative work.
- Task and planning information, such as task titles, descriptions, due dates, priorities, repeat settings, reminders, scratchpad content, Daily Recap content, and related productivity data you create inside the product.
- Billing and plan information, such as your plan, trial status, subscription status, cancellation status, payment issue status, Stripe customer identifiers, subscription identifiers, invoice or transaction metadata, and related billing records. Payment card details are handled by Stripe and are not stored by Prioflo.
- Connected service information, such as Google Calendar data or Gmail data that you choose to connect in order to power optional integration features you explicitly use.
- Voice and speech input data, such as spoken commands or dictated text, when you use supported voice capture or speech-to-text features.
- Usage, device, and diagnostic information, such as app interactions, browser details, error logs, configuration state, and other operational telemetry used to keep the product secure and working properly.
- Support and feedback information, such as messages you send us, bug reports, feature requests, or other communications.
2. How we use information
We use information to operate, secure, maintain, and improve Prioflo, and to provide the features you ask us to provide.
- Create and manage accounts, authenticate users, and maintain sessions.
- Store, organize, sync, and display your tasks, notes, scratchpad content, workspace data, reports, and other app content.
- Enable collaboration features such as shared workspaces, invites, permissions, assignments, team notes, and related activity.
- Operate paid plans, trials, subscriptions, billing status, cancellation status, payment issue handling, customer support, and related account access decisions.
- Run requested integrations, such as reading Google Calendar data for schedule-aware planning or letting eligible users manually review Gmail messages for user-controlled Email to Tasks features.
- Provide voice input and speech-to-text experiences when those features are turned on and available on your device or browser.
- Detect, investigate, and help prevent abuse, fraud, security incidents, billing misuse, and product misuse.
- Analyze product performance, reliability, and feature usage so we can debug issues and improve the product experience.
- Respond to support requests, feedback, legal process, and other operational communications.
3. How we share information
We do not sell your personal information. We may share information only in limited situations necessary to run the service, comply with law, protect rights and safety, or support features you choose to use.
- With service providers and infrastructure vendors that help us host, secure, analyze, bill for, support, and operate Prioflo.
- With Stripe and related payment infrastructure when needed to process subscriptions, trials, invoices, payment status, customer portal access, tax/accounting records, fraud prevention, and billing support.
- With other workspace members when you choose to collaborate in a shared workspace or otherwise use team-oriented features.
- With third-party services you connect, but only to the extent needed to support the integration flow you initiate.
- When required by law, regulation, court order, legal process, or to protect the rights, property, and safety of Prioflo, our users, or others.
- As part of a merger, acquisition, financing, or sale of some or all of our business, subject to appropriate confidentiality and continuity safeguards.
4. Connected accounts and integrations
If you connect a third-party account to Prioflo, we may access and process the data you authorize in order to provide the related feature. The exact data accessed depends on the integration you choose and the permissions you grant.
We use connected account data only to provide, maintain, secure, and improve the related Prioflo functionality, unless we clearly disclose another use and obtain any required consent.
For Google integrations, Calendar access is used for schedule-aware planning. Gmail access, where available to your account, is manual and user-controlled for Email to Tasks. Prioflo does not sell Google user data, use it for ads, scan Gmail in the background, automatically create tasks from Gmail, or use Google user data to train general AI models.
If we materially change how we access or use connected account data, we will update our disclosures and, where required, seek additional consent before using the data for that new purpose.
- Google Calendar: calendar and event data you authorize may be used to help plan around meetings, busy blocks, and daily schedule context when you enable Calendar features. The launch-safe Calendar integration is read-only and does not create, edit, or delete Google Calendar events.
- Gmail: selected sender, subject, snippet/content, timestamp, and source context may be used only when an eligible user manually reviews Gmail messages and chooses to create a task from email.
- You can disconnect supported integrations in Settings. Disconnecting stops future access, but it does not automatically delete tasks, notes, or context already created in Prioflo unless those items are separately deleted.
5. Voice features and speech-to-text
If you use voice or dictation features, your spoken input may be processed for transcription by the browser, device, operating system, or service supporting that feature. The resulting transcript may be stored as part of the content you create in Prioflo.
Transcriptions may contain errors, and you should review text before saving or relying on it.
6. Data retention
We retain information for as long as needed to operate the service, maintain shared workspace continuity, process subscriptions and billing records, comply with legal obligations, resolve disputes, enforce agreements, and protect the security and integrity of the product.
Retention periods can vary depending on the type of data, whether the information is tied to collaborative records, and whether we are required to keep certain records for legal, tax, accounting, security, or backup reasons.
7. Security
We use administrative, technical, and organizational safeguards designed to protect information, but no method of storage, transmission, or security control is perfect. You are responsible for keeping your credentials secure and for promptly notifying us if you believe your account has been compromised.
8. Your choices
Depending on how you use Prioflo, you may be able to:
- Update profile information and workspace settings inside the product.
- Manage your subscription through the billing flow or Stripe customer portal where available.
- Disconnect connected accounts or stop using optional features such as Gmail, Google Calendar, or voice capture. Disconnecting an account stops future access for that connection, but it does not necessarily remove items already created or imported into Prioflo unless those items are separately deleted.
- Delete tasks, notes, scratchpad content, or other records you created, subject to collaborative workspace behavior and applicable retention requirements.
- Delete your account through the product or contact us for help with access, deletion, or privacy questions. Account deletion starts the removal of your Prioflo data, subject to limited retention where needed for security, legal compliance, fraud prevention, dispute resolution, tax/accounting, backups, or permitted operational purposes.
9. Children’s privacy
Prioflo is not directed to children under 13, and we do not knowingly collect personal information from children under 13 through the service. If you believe a child has provided personal information to us, contact us so we can investigate and take appropriate action.
10. Changes to this policy
We may update this Privacy Policy as Prioflo evolves. When we do, we will update the “Last updated” date above and may provide additional notice where appropriate.
